For HVAC & mechanical contractors

Software for commercial HVAC and mechanical contractors

Bid equipment, ductwork and piping, track equipment changes and coordination reroutes, and bill rooftop units the month they land, not when they're started up.

No credit card required. Then $25 per user per month (2-user minimum).

Made for project-based mechanical work

  • Equipment-heavy billing. Separate equipment material, setting and startup lines so cash flow follows deliveries.
  • Coordination changes priced. Duct and piping reroutes from RFIs become change orders, not free work.
  • Field reporting. Daily logs, photos and crew hours from iOS and Android.
  • Every job at a glance. Contract value, change orders, billed to date and balance to finish.

HVAC change orders worth tracking

Equipment substitutions

A different unit can change curbs, weights, electrical, gas and condensate connections.

Duct reroutes

Conflicts with beams, sprinkler mains or plumbing resolved by RFI. Count the added fittings and hours.

Added exhaust & units

New exhaust fans, split systems or unit heaters added by bulletin.

Controls scope

Added points, sequences or integration with the owner's building automation system.

Crane & rigging

Re-picks or extra crane days caused by schedule changes outside your control.

Frequently asked questions

How should an HVAC contractor set up a schedule of values?

Typical lines: mobilization and submittals, equipment material (often split by major unit), equipment setting, ductwork, hydronic or refrigerant piping, air distribution, insulation, controls, test and balance, startup and commissioning, and closeout. Splitting equipment material from labor lets you bill stored equipment where allowed.

Can I bill for rooftop units delivered but not installed?

Many subcontracts allow billing for materials presently stored with backup such as delivery tickets and proof of insurance. Show the amount in the stored materials column, and it moves to completed work once installed.

What causes the most HVAC change orders?

Equipment substitutions with different weights or connections, duct reroutes from coordination with structure and other trades, added units or exhaust fans, controls scope changes, and existing conditions found in renovation.

Is Sub-Office a service dispatch tool?

No. Sub-Office is built for construction subcontracting: proposals, change orders, progress billing, invoices, daily logs and timesheets on project work.
