How to get change orders approved faster
- 1Send it while the work is fresh. Price and submit within days, not at the end of the month.
- 2Reference the cause. Name the RFI, bulletin, drawing revision or directive. "Owner requested" isn't enough.
- 3Break out the cost. Separate labor hours and rates, material, equipment and lower-tier subs. Attach quotes.
- 4State the time. Include schedule impact in days, even if it's zero.
- 5Follow up and bill it. Track approval, then put the approved change on your next pay application.

What markup should a subcontractor put on a change order?
Use the markup allowed in your subcontract. Many contracts set separate limits for markup on your own work and on lower-tier subcontractors. If the contract is silent, price a markup that covers your overhead and profit, and state it clearly.
Should I include schedule impact on a change order?
Yes. If the change adds time, state the number of days. On many contracts, signing a change order with zero days can waive your right to a time extension later.
What backup should I attach?
The RFI, bulletin, drawing revision or written directive that caused the change, plus supplier quotes, lower-tier sub quotes, and labor hours or field tickets for time-and-material work.
